Applicable to all events organised by Realm Events Ltd within the United Kingdom.
These Terms & Conditions apply to all stallholders (“you”) taking part in any event organised by Realm Events Ltd (“we”, “our”, “us”). By booking a pitch, you agree to comply with the following terms.
Stallholder pitches are allocated on a first-come, first-served basis. Bookings are only confirmed once full payment has been received. Payments must be made via the methods specified on our website or invoice. The price for each pitch is as listed on the stallholder information page. Realm Events Ltd reserves the right to refuse or cancel a booking where, acting reasonably, the stallholder’s products or conduct are not suitable for the event, or where these Terms & Conditions are breached.
Pitch sizes vary by event and venue. The pitch size allocated for each event will be clearly stated on the relevant event listing and booking page. While every effort is made to provide the stated pitch size, minor adjustments may be necessary due to venue or safety requirements. Stallholders are responsible for providing their own display equipment (tables, shelves, etc.) unless hired directly from us. For health and safety reasons, all items must be displayed on tables, shelves, or within boxes. Products may not be placed directly on the floor. Setup and takedown times will be communicated before the event and must be strictly followed. Stallholders arriving late may be refused entry if setup cannot be completed before doors open for general admission.
Public Liability Insurance (PLI) is mandatory for all stallholders. Proof of PLI, valid for the date of the event being attended, must be submitted at least 14 days prior to the event. Stallholders who fail to provide valid PLI will not be permitted to trade. Stallholders accept full responsibility and liability for any damage, loss, or injury caused by themselves, their staff, or their products during setup, throughout the event, and during takedown. Realm Events Ltd will not be held responsible for any loss, theft, or damage to stock, equipment, or personal belongings. Stallholders attend and trade at their own risk. Nothing in these Terms & Conditions shall limit or exclude our liability for death or personal injury caused by our negligence, or for any liability which cannot legally be limited or excluded.
All electrical equipment brought onto the premises must be PAT tested and in safe working order. Walkways and emergency exits must remain clear at all times. Stallholders are responsible for ensuring their setup is safe, stable, and does not pose a hazard to others. Any accidents, injuries, or damage must be reported immediately to event staff.

Realm Events Ltd reserves the right to remove any stallholder or item from sale that breaches these rules. Any decision made under this clause will be made reasonably and in the interests of event safety and suitability.
Stallholder cancellations must be made in writing. Cancellations made more than 30 days before the event they are attending will receive a refund, subject to a 10% administration fee. Cancellations made within 30 days of the event they are attending are non-refundable. If an event is postponed or cancelled by Realm Events Ltd, you will be offered either a transfer to a future event or a full refund. Realm Events Ltd will not be liable for losses arising from circumstances beyond our reasonable control, including but not limited to severe weather, venue closure, or transport disruption. In such cases, a refund or transfer will be offered where reasonably possible.
Stallholders must conduct themselves professionally and respectfully at all times. Abusive, aggressive, or inappropriate behaviour towards staff, visitors, or other stallholders will not be tolerated. Stallholders must keep their pitch clean and tidy, and remove all waste before leaving. Amplified sound, loud music, or other disruptions are not permitted without prior approval.
By attending, stallholders consent to Realm Events Ltd using event photography or video for promotional and marketing purposes, including on our website and social media. Images will not be used in a misleading manner or sold to third parties. Stallholders are welcome to promote their own participation on social media and may tag Realm Events Ltd in posts. This does not affect your rights under data protection law.
By submitting a booking request and/or completing a stallholder application, you consent to Realm Events Ltd contacting you regarding the event you have booked, including essential event information, updates, and administration. You will be added to our stallholder mailing list to receive information about future events and opportunities. You may unsubscribe from non-essential communications at any time using the unsubscribe link provided or by contacting us directly.
These Terms & Conditions are governed by and interpreted in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Realm Events Ltd reserves the right to update or amend these Terms & Conditions from time to time. The most current version will always be available on our website. Where material changes are made, stallholders who have already booked will be notified. Continued participation in events organised by Realm Events Ltd will constitute acceptance of the updated Terms & Conditions. These Terms & Conditions supersede any previous versions.
